Gmail connects securely and directly with Google, with read-only permission. We never see your password, we don't send email as you, and we don't delete anything in the inbox. TaxFlow keeps only invoices and billing documents it recognized (the file and the extracted fields), not the rest of the email. Access is encrypted. Gmail access is verified by Google and has passed a CASA security assessment. You can disconnect any time from Settings or from your Google account.
Full detail is in the privacy policy.
No. Scanning is fully automatic and looks only at messages that contain invoices or payment confirmations. Nobody reads your email, except when you explicitly ask for technical support, or when the law requires it.
General AI assistants are good at one-off tasks. They are not a system for keeping financial records.
They don't bring channels together: a general AI reads one message or one email. It does not collect automatically from every inbox and WhatsApp number into one place.
They can miss a critical detail on an invoice, or invent one, with no check built for bookkeeping.
Duplicates, amount mismatches, and unknown suppliers stay visible and actionable in TaxFlow.
There is no built-in, secure way to hand your accountant the whole month in one click.
TaxFlow is built for that: ongoing collection from inboxes and phones, careful document processing, and one share link that saves your accountant — and you — the chase.
On Free, documents are kept for 60 days. On Pro, documents are kept for 7 years. You can ask us to delete the account and its data any time at hello@runtaxflow.com.
We email you and show it in the app before you hit the limit. You can upgrade to Pro at any time and keep processing up to 100 invoices a month.
Yes. There is no commitment, and you can cancel with one click in Settings.
Send a photo or PDF to TaxFlow's WhatsApp number. TaxFlow extracts the data and files it. Free includes one number; Pro includes several numbers on the same account. You can disconnect a number in Settings.
A secure connection to an AI tool (such as Claude or ChatGPT). You can ask about expenses in plain language, and send an invoice file to add it. Approving invoices and handling alerts stays in TaxFlow. You can disconnect any time.
You send a dedicated share link. They don't get access to your Gmail or WhatsApp. Revoking the link in Settings cuts off access immediately.
Every new invoice that was received and processed (from email, WhatsApp, or manual entry). Viewing, filtering, or exporting documents already in TaxFlow does not count again.
